About the role
This is a Billing Administrator contract role in AES Engineering's Vancouver office, handling client invoicing and billing records for engineering and professional-services projects. You will coordinate with Project Managers, the Project Accountant and clients to issue accurate invoices on schedule and resolve billing questions.
What you’ll do
- Manage invoices from preparation through client submission.
- Check labour, expenses, consultant charges, retainers, taxes and billing adjustments.
- Apply billing changes supplied by Project Managers.
- Prepare final invoices and supporting records.
- Submit invoices through client portals, email or other required channels.
- Track billing deadlines and required project information.
- Respond to billing questions and coordinate revisions.
- Review contracts, fee proposals and client billing terms.
- Maintain project billing details, budgets and invoicing requirements in the ERP system.
- Resolve discrepancies with the Project Accountant.
- Provide invoice copies and supporting documentation to clients.
- Support Project Managers during monthly billing reviews.
